Job Title: Program Coordinator

A little bit about our team:

The Change Management and Program Management team is part of the Finance Transformation Program team. This team is responsible for all project and change related activities as we determine the best infrastructure and process design for an efficient, effective and sustainable future finance organization. To effectively transform and guide our people through the transformation the team will design, implement, and embed best practices that will focus on 3 key components: program tracking, status and change management..

Your role: The Program Coordinator will play a key role in supporting change management initiatives and the Project Management Office (PMO) by coordinating projects, resources, and communications. This position will ensure alignment with global finance transformation goals while facilitating the successful execution of program and change efforts across various teams.

Here you'll get to:

Program Management Team Support:
• Maintain project plans, track progress, and ensure timely completion of deliverables.
• Updating the Weekly Status Report deck
• Scheduling program meetings, and end-user sessions (training, awareness, etc.)
• Drafting and circulating program communications e.g. UAT, readiness, etc.
• Manage access to mailboxes, calendar, global hub, shared drives
• Help identify delays, dependencies, and risks
• Organizing and support team calendar/activities as needed

Change Management Team Support:
• Draft, arrange sign-off, and send release communications in line with the P&C Communications plan, including release updates, go-live, cutover, vendor/customer communications (using tools such as Populo, FIT comms mailbox, and Slack and involving sign-off from key stakeholders such as FIT leadership, Corp Comms, etc.)
• Monitor the FIT Comms mailbox and Slack channels for inbound communications and triage out to the relevant people for response
• Maintain stakeholder list from employee lists and ad-hoc updates, for communication and training distro lists, including:
• Updating new CFOs/leavers/backfills
• Updating the FIT Team list
• Working with Deloitte to update their team list
• Working with key contacts on People Partner updates
• Coordinate CFO communications (weekly newsletters, monthly briefing decks) alongside Deloitte
• Liaise with PMO to coordinate and align program and end-user communications
• Liaise with SSC communications to align on newsletters and info out to SSC users
• Regularly track against P&C plan and comms plan, escalating any areas of delay or concerns
• Managing access to and curating/updating the Global Finance Hub FIT pages including FIT Discover and Deployment Pages to ensure effective communication.
• Identify communication gaps and support in drafting comms/readiness materials/surveys as needed
• About you:
• Bachelor's degree in business or related field
• 1-3 years of related Project Management / Project Administration experience
• Knowledge and understanding of project coordination, document management and scheduling using MS Project, Workfront or similar system
• Ability to use Microsoft Office (Word, Excel, Outlook, and PowerPoint), Google Suite (Sheets, Documents, and Slides) – intermedium to advanced level required
• Ability to listen to and translate notes from a meeting, discussion or vision into a set of materials that expands upon and communicates the message
• Ability to coordinate completion of multiple tasks and deadlines
• Able to handle planning and logistics
• Exceptional written, verbal and presentation design, template usage and presentation delivery skills

Salary Range

$32.20

Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
